*Key Responsibilities-*
*Communication Management:*
* Handle client inquiries (phone/email) and provide information as needed.
* Schedule callback appointments and meetings.
* Contact architects or engineers throughout the estimating process (upon request).
*Yard Stock & Maintenance:*
* Maintain yard supplies and place orders for PPE, tools, and equipment.
* Collaborate with the foreman or selected employee to compile a list of needed items for the yard and work vehicles.
* Manage the vehicle maintenance schedule quarterly.
*Calendar and Schedule Management:*
* Coordinate and manage the admin calendar.
* Schedule and reschedule meetings and appointments as needed.
* Send reminders for special events, such as work BBQs or employee training.
*Document Preparation and Management:*
* Prepare and edit documents, reports, and presentations upon request.
* File and retrieve documents as needed.
* Keep track of incoming emails and leads, staying up to date with them.
*Data Entry and Record Keeping:*
* Update WSIB & COI for all contractors as requested.
* Track close-out documents for projects.
* Maintain a spreadsheet of current employees with safety tickets and expiration dates.
*New Hire Service:*
* Assist with new hire onboarding, including safety tickets, policies, and hire documents/packages.
*Project Assistance:*
* Track job progress with employees, such as daily brick or block counts.
* Coordinate with team members to ensure timely completion of project tasks.
*Miscellaneous Tasks:*
* Assist with event planning, including company events and luncheons.
* Conduct research as needed.
* Manage social media accounts (if applicable ? this can be outsourced).
*Job Requirements:*
* Proven experience in phone communication, Gmail, Excel, Word, CRM, and all Microsoft programs.
* Strong organizational skills with the ability to manage multiple tasks.
* Excellent communication skills and attention to detail.
* Ability to work independently and as part of a team.
* Strong time management and problem-solving abilities.
