Fort Amherst Healthcare campuses are dedicated to the provision of safe and supportive living options for aging individuals. The Administrator is often the first face prospective clients see on site and are integral in building strong relationships with residents and families by providing ongoing support and guidance.
As a member of the management team, the Administrator thrives on offering excellent customer service, are effective communicators, and have a passion for customer service. The Administrator should have an excellent knowledge of Microsoft Office 365, demonstrate effective problem-solving skills, and have experience with basic financial functions.
*Duties and Responsibilities*
· Supports sales and marketing by following up on leads, building relationships with potential clients, and conducting facility tours.
· Accurately prepares payroll file for submission to accounting on a bi-weekly basis.
* Promptly processes new hire documents.
* Completes all required payroll documentation including change forms and submits in a timely manner.
* Responsible for the completion of all new hire documentation.
* Ongoing auditing of employee files to ensure RHA compliance is met.
* Schedules first aid and other required training for employees on an ongoing basis.
* Assists new employees with set-up of insurance benefits. Ensures applications are submitted promptly for processing.
* Accurately manages petty cash ensuring all documentation is in order. Submits to accounting monthly.
* Manage resident trust accounts in accordance with the NLHS standards.
* Prepare and submit monthly rent roll.
* Process all invoices and credit card receipts for approval and payment.
* Create and maintain resident financial files.
* Create and maintain employee files.
* Hire contractors and equipment for administration and other departments as needed.
* OH&S committee member.
* Complete and submit WorkplaceNL forms.
* Conduct weekly audits of housekeeping and report as directed.
* Completes the ordering of office supplies and services.
* Provides administrative support to other members of the management team.
* Provide mentorship and encouragement to junior staff members.
* To follow and act in accordance with provincial health and safety legislation and departmental safe job procedures as outlined by Fort Amherst Healthcare, OH&S and NLHS.
* Participates in on-call rotation providing facility management and staffing support, when scheduled.
* To complete other duties as assigned.
* Attends all training sessions and departmental meetings.
