Psychological & Counselling Services Group (PCSG) is a multi-function, private practice, psychology and psychotherapy clinic. We value training, community service and innovation.
We are seeking an English/Chinese (Mandarin/Cantonese) speaking individual who is a personable and highly organized office assistant to ensure our office is welcoming for our clients. As part of the reception team, you are the first point of contact and responsible for a positive client experience.
This position involves varied shifts.
*Minimum Qualifications:*
· Post-secondary education in a related field
· Minimum 2 years administrative experience, ideally in mental health / medical practice
· Education or experience related to administration

· Time management - Ability to prioritize and manage multiple tasks effectively in a fast-paced environment; completes work within expected periods of time
· Problem solving - Demonstrates the ability to use problem-solving skills; positive and can-do attitude
Technology Skills
· Tech savvy and willing to learn new skills
· Proficient in Microsoft Office (Outlook, Word, Excel, and PowerPoint)
· Able to use video conferencing (i.e. Teams, Zoom, etc.)
· Experience with Client Management systems (i.e. OWL)
· Knowledge and experience working with online tools (i.e. Google Drive, Docs, Forms)
*Responsibilities*
Office/Reception Duties
· Create a welcoming atmosphere by promptly greeting clients in-person, on the telephone and via email, answering inquiries and scheduling appointments
· Booking virtual and in-person meetings
· Insurance billing
· Record client service information and receive and record client fee payments
· Assist with administrative tasks including incoming mail, faxes, documents, photocopying and meeting schedules
· Respect the dignity, confidentiality and privacy of clients

Pay: From $17.50 per hour
Expected hours: 12 ? 20 per week
