*Job Overview*
Reporting to the Director/Lead of Nursing Programs (Interim) and Director of Nursing and Business/Office Manager, the Medical Administration Assistant plays a vital role in ensuring the efficient operation of the nursing department. This role involves preparing staff schedules, supporting recruitment and orientation processes, and providing comprehensive office administrative support.
*Key Responsibilities:*
*Scheduling and Staffing:*
* Prepare nursing staff schedules in collaboration with Nursing Managers.
* Ensure daily staffing needs are met, including shift replacements and coordination with external staffing agencies as required.
*Recruitment and Onboarding:*
* Assist managers with recruitment, onboarding, and orientation of new staff members.
*Administrative Support:*
* Provide administrative assistance, such as answering phones, photocopying, ordering supplies, preparing documents, filing, and creating name tags for staff.
* Liaise with families and visitors, offering guidance and direction to appropriate areas of the home.
*Health & Safety:*
* Promote a safe working environment by adhering to and enforcing health and safety policies and procedures.
* Participate in fire safety demonstrations, fire drills, and emergency preparedness activities.
*Special Projects:*
* Undertake special projects as assigned by the leadership team, including assisting other departments when needed.
*Qualifications:*
* Post-secondary diploma, degree, or certificate in Office Administration (Healthcare) or a related field from an accredited Ontario institution, or an equivalent qualification.
* Strong knowledge of office procedures, with proven experience in office administration.
* Proficiency in Microsoft Office applications, particularly Excel and Word.
* Excellent communication skills and attention to detail.
