We are seeking a detail-oriented and organized Administrative Assistant to join our property management team. The ideal candidate will support daily operations by managing various administrative tasks, ensuring smooth and efficient office workflows. *Key Responsibilities:*
*Rent Increase Letters:*
* Prepare and distribute rent increase notices to tenants as directed by management.
* Maintain records of all communication related to rent changes.
*Supply Management:*
* Monitor and maintain office supplies, including ordering when necessary.
* Track inventory of essential supplies and ensure timely restocking.
*Clubhouse Bookings:*
* Manage scheduling and reservations for the property?s clubhouse and common areas.
* Communicate with tenants regarding bookings, usage rules, and availability.
*General Administrative Support:*
* Answer and direct phone calls and emails, providing exceptional customer service to tenants and vendors.
* Assist with filing, document management, and data entry.
* Support the management team with additional tasks, such as tenant correspondence, lease renewals, and other clerical duties.
* Running errands between buildings. Access to a reliable vehicle will be required.
*Required Qualifications:*
*Experience:*
* 1-2 years of administrative experience, preferably in a property management or real estate setting.
*Skills:*
* Strong organizational skills with a high attention to detail.
* Effective time management abilities and the capacity to handle multiple tasks simultaneously.
* Excellent customer service and communication skills, both written and verbal.
* Proficiency with basic office software (e.g., Microsoft Office, email, and property management systems).
*Nice-to-Have Qualifications:*
* Previous experience in property management or real estate.
* Familiarity with property management software.
* Experience in managing tenant communications, lease renewals, or similar duties.
* Basic knowledge of financial processes like rent collection or invoicing.
*Work Environment:*
* This role is primarily office-based, with occasional interactions with tenants, vendors, and contractors.
* The candidate should be comfortable in a fast-paced environment and adaptable to changing priorities.
