Job details
Bemac Collision Group has an immediate opportunity for a Office Administrator to join their team in a well-established, progressively growing group of companies. The Office Administrator is responsible for supporting company operations by maintaining office systems and functions, also coordinating tasks through communication with customers.
*Job Type:* Full-time
*Reports to The Shop Manager*
*Responsibilities include, but are not limited to:*
* Monitor company info email inbox for insurance-related emails
* Post customer payments by recording cash, cheques, and credit card transactions
* Triage all calls and emails to the appropriate person or department
* Schedule in clients for repairs
* Work closely with all departments within the company to ensure customer-related tasks are properly carried out
* Act as a company representative when in contact with Tow Companies, Rental Companies, and Insurance Companies
* Contact customers to schedule estimates, repairs, pick-ups
* Arrange and organize rental reservations for customers on an as-needed basis
* Document and complete paperwork for all customers in relation to their repairs
* Open work orders and assign them to appraisers
* Organize and provide folders & keys to appraiser for pre-scans & check-ins
* Collect outstanding customer payments
* Log insurance communications in Bodyshop Connect and Progilog
* Print estimates from independent appraisers and assign them to an appraiser to handle
* Assist with Closing Files
* Sort Canada Post mail & distribute mail to appropriate person
* Have cash sheet balanced & printed every Friday
* Update job knowledge by participating in educational opportunities
* Other administrative tasks and functions as necessary
*Skills and Experience:*
* High school diploma, GED, or equivalent
* Two experience in an office setting
* Excellent communication and customer service skills
* Ability to use various computer software
* Ability to prioritize tasks, and stay organized
Job Types: Full-time, Permanent
Pay: $20.00-$23.00 per hour
