*Overview*
We are seeking a highly organized and motivated Office Administrator to join our team. The ideal candidate will be responsible for ensuring the smooth operation of our office environment, providing exceptional customer support, and managing administrative tasks efficiently. This role requires strong communication skills, attention to detail, and the ability to multitask in a fast-paced setting. Experience in the plumbing industry is a plus, but not required.
*Responsibilities*
* Greet visitors and manage front desk operations with professionalism and courtesy.
* Answer phone calls and respond to inquiries with excellent phone etiquette.
* Handle inbound and outbound phone calls, providing excellent customer service.
* Manage scheduling, customer information, and service details using ServiceTitan or similar CRM software.
* Assist in scheduling appointments and managing calendars for team members.
* Maintain financial records and assist with invoicing, payments, and expense tracking using QuickBooks.
* Follow detailed scripts when communicating with customers.
* Accurately input data and maintain organized records.
* Assist with general administrative tasks as needed.
* Provide customer service support by addressing client needs and resolving issues promptly.
* Maintain organized filing systems and manage office supplies inventory.
* Utilize Google Suite for document creation, data entry, and communication purposes.
* Support various administrative tasks including data entry, correspondence, and report generation.
* Collaborate with team members to ensure efficient office operations.
*Experience*
* Previous experience in the plumbing industry in an administrative role or as a receptionist is preferred but not required.
* Strong organizational skills with the ability to prioritize tasks effectively and the ability to multitask.
* Ability to work well in a team environment and maintain a positive attitude.
* Proficiency in Google Suite applications (Docs, Sheets, Drive) is essential.
* Experience with ServiceTitan or other CRM systems.
* Proficiency in QuickBooks.
* Excellent phone etiquette with strong communication skills.
* Excellent customer service skills with a focus on providing a positive experience for clients.
* Attention to detail and ability to follow processes and scripts.
* Ability to maintain confidentiality and handle sensitive information appropriately.
* Strong attention to detail and problem-solving abilities are crucial for success in this role.
