We are seeking a talented and experienced Administrative Assistant with a strong administrative background.
*Position Overview:*
As an Administrative Assistant, you will be the central point of communication in the office, handling all incoming calls, emails, and paperwork with efficiency and professionalism. You will serve as a key support to both the General Manager and the Financial Manager, supporting them and their schedules, coordinating meetings, preparing reports, and assisting in day-to-day administrative tasks. This role requires excellent multitasking skills and a strong ability to manage large amounts of information.
*Key Responsibilities:*
*Administrative Support:*
* Phone Management: Answer and screen all incoming calls, ensuring they are directed to the appropriate person or department.
* Perform a wide range of clerical duties, including filing, scanning, emailing, copying, and faxing documents.
* Maintain office supplies and ensure the office is organized.
* Coordinate and prepare paperwork for internal and external communications.
* Manage reminders for key deadlines and follow-ups on various tasks.
*Support to the General Manager and Financial Manager:*
* Organize and schedule meetings, calls, and travel arrangements.
* Prepare reports, presentations, and correspondence as needed.
* Maintain confidentiality and handle sensitive information with care.
* Assist with organizing documents and maintaining accurate records.
* Assist with spreadsheet creation and maintenance.
*Excel Expertise:*
* Build and maintain complex Excel spreadsheets for reporting, data analysis, and project tracking.
* Utilize formulas, pivot tables, and data visualization tools in Excel to support daily operations.
* Ensure accuracy in data input and be able to troubleshoot spreadsheet issues as they arise.
*Qualifications:*
* Experience: Minimum 2 years of consistent Excel use in an office environment.
* Technical Skills: Intermediate-level proficiency in Excel, with experience creating spreadsheets from scratch, using formulas, pivot tables, charts, and data analysis tools.
* Communication: Excellent written and verbal communication skills, with the ability to handle calls and emails in a professional manner.
* Multitasking & Resilience: Ability to manage multiple priorities and high volumes of information from various sources while maintaining attention to detail and composure.
* Time Management: Strong organizational skills with the ability to prioritize tasks and meet deadlines in a fast-paced office environment.
* Other Skills: Experience with Microsoft Office (Word, Outlook, etc.) and the ability to quickly learn new software programs.
Job Types: Full-time, Permanent
Pay: $18.50-$21.00 per hour
