Job details
Frilan Appraisals LLP is a busy residential and commercial real estate appraisal firm, providing appraisal and consulting services to clients through the British Columbia Interior. We are hiring an administrative assistant to start as soon as possible within our commercial department.
The ideal candidate must be available to work from Monday to Friday, in between the operating hours of 9:00am - 5:00pm. _Provided hours per week will fluctuate based on workload, between 32 to 40 hours per week._
\*Remote work/working from home is not an option at this time; must be available for in-office work only.
*Duties and Responsibilities:*
* Answer client inquiries (phone calls or e-mails) and respond with clarity to a variety of general inquires and/or direct to the appropriate employee
* Uphold strict confidentiality with all communications
* Format letters and documents (using MS Word)
* Proof-read, review, and send appraisal reports, letters, and documents in alignment with firm standards and industry requirements
* Receive and process payment details
* Open/close files
* Schedule inspection appointments within Kamloops and the BC Interior
* Data entry and database maintenance with high levels of accuracy
* E-invoicing
* Maintain the organization of paper files
* Document scanning, PDF creation, preparing hard-copies of files
* General office assistance
*Requirements/Qualifications:*
* Intermediate knowledge of MS Word, Outlook, and Windows operating system (Required)
* Basic knowledge with MS Excel and Adobe PDF
* Strong interpersonal and communication skills, both written and verbal
* High level of attention to detail (data entry, proof-reading, and communications)
* Good organizational skills
* Must be able to multitask in a fast-paced work environment that works within tight deadlines, individually and part of a team
* Strong problem-solving skills
* Minimum typing ability of 60 WPM
* Administrative Assistant Certificate with previous client service experience, or 2 years of recent experience in an office setting, ideally within an industry providing professional services
