*About the Position: *
We are seeking a motivated Administrative Assistant to support our Executive Management Team. The ideal candidate will possess strong organizational and communication skills, as well as being well-versed in computer software including Microsoft Suite, with the ability to multitask.
The Administrative Assistant will be responsible for day-to-day office coordinating tasks, such as expenses reports, invoices, booking accommodations, ordering office supplies, lunches and much more. The ideal candidate will be integral to the functionality of the Downtown Ottawa Office, ensuring streamlined day-to-day operations while working closely with the management team. This is an in-office position, 5 days a week.
*Responsibilities:*
* Greet office guests as required while presenting the company in a respectable manner through excellent communication.
* Coordinate travel accommodations for executive management while ensuring a high level of attention to detail and organization.
* Book meetings, make reservations, place orders and deliveries for executive members as required.
* Complete and submit expense reports for all executive management staff.
* Ensure confidentiality and discretion in handling sensitive information.
* Support the Executive Associate with various administrative tasks as required.
* Respond to incoming phone calls and emails during business hours.
* Coordinate stock and replenishment of office supplies and keep inventory of company merchandise (i.e. distribution and tracking of company gear, office supplies, beverages etc.)
* Upkeep regular communications with office vendors, including Purolator/shipping services etc.
* General upkeep of office space, such as tidying.
* Create and maintain key relationships with the property manager and other relevant stake holders.
* Other duties as assigned.
*Experience, Skills & Competencies:*
* Must be bilingual in English & French.
* At least 1 ? 2 years experience in office administration or equivalent.
* Ability to work as part of a team, as well as individually.
* Ability to communicate verbally, written, and strong computer skills (Excel, Word).
* Strong organizational skills with the ability to exercise independent judgement.
* Strong attention to detail.
* Ability to handle confidential and sensitive information with professionalism.
* Ability to work well under pressure.
* Ability to maintain focus while working in a distracting environment.
* Demonstrated ability to maintain a positive attitude and actively contribute to a collaborative and supportive team culture.
* Post-secondary education considered an asset.
*Working Conditions and Physical Requirements: *
* In an office position expecting long periods of sitting.
* May be required to travel to Toronto on occasion.
* After hours work may be required.
