*Full-time, Permanent Position * Mon.- Thur. 8:00am-4:00pm Fri.8:00am-12 noon
36hrs per week (flexibility in the hours)
*Office Manager with Bookkeeping Experience* required to work full time in our Niagara Falls office at our busy, friendly company which provides custom cabinet making and millwork to hotels, casinos, medical offices, restaurants as well as other commercial and residential projects.
*JOB DETAILS*
*- *Running the day-to-day administrative duties of our office
- Work location is at our Niagara Falls office, connected to our shop. (This is not a work-from-home position and no work is permitted to be taken home.)
- Work Hours are Mon.- Thur. 8:00am-4:00pm Fri.8:00am-12 noon 36hrs per week
- Flexibility in the hours you work
- Reporting to the President (1 of the 2 Owners)
- Clean, business casual dress, appropriate for meeting the public, jeans and polo shirts are ok.
- Pay and Benefits: $22.00 to $26.00 per hour, flexible depending on experience/skill level
Vacation pay is an additional 4%, paid out on each paycheque. Payday is every Friday by Direct Deposit for the Pay Period of the week before.

- Company events such as BBQ?s, lunches and Christmas Party
- We close each year for 10 days, from Christmas Eve until the day after New Year?s Day
*SKILLS REQUIREMENT AND EXPERIENCE*
*- *Quick Books Online experience required, or at least some cloud bookkeeping
- Bookkeeping experience to proactively manage all the government requirements for submitting payroll remittances, hst required
- Attention to detail with pro-active analyzing and problem solving skills
- Superior verbal and written English as you may need to write referral letters
- MS-Word, Outlook and Excel (including formulas)
- Excellent paperwork organization is a must for complex job invoicing
*Office Manager responsibilities are:*
*FRONT COUNTER GENERAL OFFICE DUTIES - RECEPTION and RECEIVING*
- Front Counter ? receive customers, suppliers and deliveries
- answer the telephone and direct callers
- review and respond to emails; you are the focal email contact for the business for bids and tenders, website inquiries, and all prospects/customers/suppliers and business contacts
- water the plants, keep the office area tidy, replace printer toners when required
- update the President?s telephone contact list
- order office, kitchen, cleaning and first aid supplies
- track and renew all licenses and policies ? WSIB Clearance Certificate, Business License, Insurance Policies (personal and corporate)
- update our Health and Safety Policy annually as required for Bids and Tender responses
*SALES SUPPORT*
- receive job pricing from the Estimating Dept., create all quotes and email to the customers
- prepare required documents for tender bids and submit by the deadline
- maintain and update our Work-in-Progress display board for all jobs in production
*ACCOUNTS PAYABLE*
- match delivery slips to Supplier Statements and reconcile/investigate/correct any errors
- call or email the Suppliers to process payments
- post all Accounts Payable entries into QBO
- create and submit the quarterly HST Payment to meet the deadline
- complete credit applications for new Suppliers and submit as required
- manage and reconcile the Petty Cash account
*ACCOUNTS RECEIVABLE*
*- *create invoices for completed jobs and email them to the relevant customer
- receive and post all payments to our Accounts Receivables
- update and create weekly Accounts Receivable reports for the President as well as niche reports for our larger customers
- update our display board from Work-in-Progress to Installed and Invoiced Jobs
*BANK AND CREDIT CARD RECONCILIATIONS*
