A paradise for those who are looking to connect with nature and the outdoors.Position SummaryReporting to the Chief Administrative Officer, the Communications & Executive Assistant to the Mayor will primarily be responsible for providing day to day operation, administrative, and communication support to the Mayor. In this key role, you will be responsible for a wide range of complex and confidential administrative duties including responding to and/or redirecting public inquiries, taking meeting minutes, and liaising with constituents, internal staff and community partners. This role also plans, creates, and executes communications on behalf of the Mayor in multiple formats, including newsletters, social media, and videos. Additionally, the Executive Assistant assists with some administrative needs of Town Councillors and senior staff as requested.General DutiesAssist the Mayor in daily tasks, such as scheduling and appointments. Research and analyze data on issues facing the municipality. Communication & Correspondence for the Mayor and Town of Princeton. Work on special projects as assigned. Handle confidential information with discretion.Major Duties and ResponsibilitiesManage the Mayor's schedule, coordinate travel arrangements and conference registrations, maintain calendars, appointments, and arrange meetings and conferences. Provide administrative support, such as printing and assembling documentation, as well as writing correspondence as assigned. Process daily email, mail, and phone calls for the Mayor. Research and respond to queries and concerns from members of the public regarding town matters, as well as referrals to appropriate levels of government, organizations, and agencies within the community. Maintain and organize hard copy documents and digital records as assigned. Assist in preparing reports, briefs, and other documents as required. Conduct research and provide information to the Mayor as requested. Provide itinerary and information for all speaking /engagements and conferences. Summarize committee and Council meetings and help prepare communication materials, such as newsletters. Plan, create, and execute social media posts across multiple platforms for the Town of Princeton to boost community engagement and awareness. Update, monitor, and maintain Town Hall section of municipalities website as directed. Engage with community groups and stakeholders to build relationships and promote collaboration. Coordinate and plan events for the Mayor, including meetings and workshops within the prescribed timeline and budget. Demonstrate continuous improvement efforts to streamline work processes and work cooperatively to provide quality service. At all times, ensure the highest standards of confidentiality and integrity. Adhere to, support, and promote adherence to all Town policies and procedures, regulations, and other related guidelines. At all times, work in a safe manner promoting health and safety and in compliance with the Occupational Health & Safety Act. Attend regular team meetings and support team building, working closely with others in the division and all other Town departments. Perform other duties as assigned by the Mayor or CAO.Required Qualifications, Skills & ExperiencePost-Secondary education in Public Administration, Political Science, Communications, Business Administration, or related field.
