The Logistics Coordinator plays a crucial role in facilitating the smooth flow of goods from us to our customers without being late and always meeting datelines.
*Responsibilities:*
* You monitor shipping activities and persistently follow up with related parties until the shipment reaches its destination without being late.
* Resolve any issues or delays in the shipping process before it impacts our customers.
* You are fully responsible for the end-to-end processes: Purchase Order processing, Shipment Documentation, Shipment Preparation, Carrier Tender, Delivery Confirmation, Shortage/Wrong/Damaged Item Claims, and Invoicing.
* Manage the maintenance, preparation, and routing of purchase orders.
* Manage the Transportation Management System (TMS) processes for large retailers.
* Master ALL Routing Guides and create necessary documentation.
* Track ALL shipments statuses and update reports regularly.
* Coordinate all aspects of logistics, including booking shipments, arranging transportation, and managing documentation.
* Communicate with freight forwarders, carriers, and customs brokers to ensure timely and cost-effective delivery of goods to customers.
* Prepare export documentation such as commercial invoices, packing lists, DG Docs and certificates of origin.
* Ensure compliance with import requirements of various countries/clients.
* Work closely with the sales team to meet customer requirements and delivery deadlines.
* Maintain accurate records of shipments, invoices, warehouse documentation, and logistics activities.
* Ensure all outbound shipments have been invoiced and copies sent to customers as per their protocols.
* Ensure our invoices are posted on our customers payment gateways to ensure timely payments and notifications of deductions.
* Submit to customers back up documentation and supporting materials to support the reversal of invoice deductions.
* Continuously optimize processes to improve efficiency and reduce costs.
* Other tasks as assigned.
*Qualifications:*
* Ability to work with no supervision and track multiple processes.
* Outstanding organizational and coordination abilities.
* Efficient in utilizing to-do lists or any related apps so not to forget any deliverables or pending tasks.
* Excellent verbal and written English communication skills with the ability to interact persuasively with internal teams and external partners.
* Detail-oriented and meticulous with strong organizational and problem-solving abilities.
* Ability to work under pressure within tight datelines and manage multiple priorities at the same time.
* Computer-savvy with a working knowledge of ERP software?s.
* Ability to keep work area neat, clean, and organized.
Job Type: Full-time
Schedule:
* Day shift
* Monday to Friday
* Weekends as needed
