*FUNDAMENTAL OBJECTIVE:*

*NATURE AND SCOPE: *
The Administrative Assistant works well independently and collaboratively and relies on their administrative and communication skills and experience to accomplish goals. The individual interacts effectively with all team members, stakeholders and community members.
*KEY SPECIFIC ACCOUNTABILITIES: *
General administrative support
* Provide administrative support for Office Manager and team members
* Conduct a wide range of clerical duties including data entry, filing, responding to emails and preparing documents and reports
* Order office supplies and maintain inventory
* Handle incoming/outgoing mail
* Transcribe minutes for team meetings
* Provide tech support to team as required and/or act as liaison to service providers as needed
Director of first impressions
* Main contact for Ignite office both internally and externally
* Triage incoming requests
* Associated operations support
* Information gathering and monitoring
Events support
* Support Office Manager with internal events such as team bonding, team birthdays/work anniversaries and training sessions by coordinating space, food and calendar invitations
* Support Office Manager with corporate external events planning and coordination (eg. AGM, board lunches, etc.)
HR support
* Coordinate health and safety committee including meetings, minutes and reporting
* Support with coordinating employee training (cybersecurity, workplace safety, etc.) and ensuring team members are up to date as applicable
* Assist with continuous improvement and efficiency of HR administration processes
Accounting support
* Assist with expense reconciliations
* Assist with loan and grant administration and client file management
Other administrative duties as required
*CORE COMPETENCIES: *
* Excellent Microsoft 365 skills
* Excellent internal and external customer service skills
* Attention to detail
* Strong organizational and time management skills
* Superior communication and interpersonal skills working with team members, management, stakeholders and community members
* Basic knowledge of accounting functions
* Experience with QuickBooks Online and/or other accounting software an asset
* Strong oral and written English language skills / French bilingual an asset
*QUALIFICATIONS: *
* Related college degree or High School combined with experience
* 3+ years related experience in a comparable role
* Experience in economic development environment an asset
* Ability to work in-office, 8:30am to 4:30pm Mon ? Fri
* Occasionally available to support evening events
