The Administrative Officer provides administrative support to all team members of the College of Applied Biologists. Reporting to the Executive Operations-Communications Supervisor, the Administrative Officer is responsible for supporting administrative processes and some statutory functions.
The starting salary range is $52,300 ? $61,500 per year, and the College offers a competitive compensation package that includes extended health benefits and enrollment in the provincial pension plan. This is an in-person position; the College?s office is located in Victoria, B.C.
*Duties and Responsibilities*
The Administrative Officer performs the following functions on behalf of the College:
_General Duties_
* Provides administrative support to the Chief Executive Officer and other team members as needed.
* Primary contact for IT support contractor
* Primary contact for building management
* Performs phone reception duties, responds to requests and inquiries from registrants, and the public about the College of Applied Biologists. Forwards inquiries to appropriate staff as required.
* Processes incoming and outgoing mail as required. Forwards mail addressed to the College Board Chair to the Chief Executive Officer for re-directing/action.
* Other administrative duties such as office management, filing and coordination.
_Document Control_
* Maintains files and digitizes documents to shared drives as required.
* Maintains records, files, and archives.
_Website Administration_
* Maintains and updates Website (e.g., basic website administrative tasks).
* Posts jobs and events.
_Statutory Committee Support_
* At the direction of staff lead, supports coordination of committee meetings (including preparation of meeting materials), committee meeting venues and logistics as needed for committees and task forces.
* Attends (virtually) meetings of Investigation Committee and Discipline Committee and takes meeting minutes.
* Files committee meeting minutes with CEO and other responsible staff.
* At direction of responsible staff, posts items to discipline digest (e.g., Notices,
citations, etc.).
* Provides support to staff leads on other Investigations and Discipline Committee functions as needed.
_Registrants and Registration_
* Supports Registration Officer in retrieval and organization of hard copies of applicant transcripts.
* Ensures that a sufficient number of new registrant certificates are printed and available.
* Supports Registration Officer in compiling and mailing out of new registrant packages.
Performs other related duties, as required.
*Qualifications*
_Education and Experience_
* Secondary school graduation or equivalent.
* A minimum of three years administrative support experience, education and/or training.
* Experience providing administrative and/or financial support services.
_Technical Skills_
* Experience working with MS Office applications, including Word, Excel, Outlook and/or PowerPoint.
* Experience taking concise meeting minutes.
* Experience handling confidential materials.
* Web-based skills including website edits and mass communications.
* Possesses excellent written and verbal communication skills. Demonstrates excellent proofreading skills.
* Excellent verbal and written communication skills.
* Competent in the operation of a variety of office equipment.
_Personal Characteristics_
* Attention to detail and efficiency in correcting issues as noticed in a timely manner.
* Discreet and concise when handling sensitive or confidential information.
* Self-directed and works well independently and as part of a team. Asks questions when clarification is needed to ensure tasks are completed efficiently and timely.
